Job Description:
Summary: California Closets is looking for an experienced
Administrative Assistant to join our growing team at our
Indianapolis, IN Headquarters. As our Executive Administrative
Assistant, you will be the first point of contact at headquarters
and will provide administrative support for leaders across the
organization as we strive to Design Better Lives. You will be
responsible for ensuring that facility services at our headquarters
are coordinated in a high quality and cost-efficient manner. This
role will -also managing all company events and executive travel
and calendar oversight. -Specific Duties and Responsibilities:

- Greet and provide assistance to all visitors, always ensuring a
great first impression of our company
- Answer, screen and forward incoming corporate phone calls while
providing basic information and solutions as appropriate
- Maintain professional, creative, and inspiring office
environment by overseeing the keeping the kitchen, conference rooms
ad offices tidy and organized during the day
- Order and restock necessary materials and supplies for the
kitchen, bathroom, conference rooms and offices
- Provide administrative support to the Executive Team
- Assist with travel arrangements for executives
- Develop tools and policies to aid in smooth office
operations
- Coordinate & manage new hire checklist
- Coordinate meeting catering requests
- Manage and sort daily mail
- Assist with shipping domestic and international packages via
FedEx, UPS, USPS etc.
- Assist with administrative requests as necessary and support
day to day office operations Qualifications:
- HS Diploma Required, Some College (and/or Bachelor degree)
Preferred
- Minimum 4 years relevant experience and has worked in a similar
role
- Professional & courteous demeanor
- Proficient with Microsoft Office Suite, slack, salesforce and
google suite
- Experience with managing multiple email distribution lists,
electronic file organization including file sharing, scanning,
copying and printing
- Demonstrated ability to multi-task and prioritize work with
strong attention to detail, even with frequent interruptions.
- Highly proactive. Takes ownership to anticipate needs and adept
at managing up and across the organization to ensure work is
completed in a timely and accurate manner.
- Customer service focused, takes initiative to add value, and
collaborates in a manner that holds team success top-of-mind.
- Strong organizational, project management and problem-solving
skills
- Great attitude; hardworking, positive, team-oriented,
empathetic/strong understanding of people/teams
- Quick learner with ability to understand new concepts and
eventually add suggestions for improvement
- Ability to work in a fast-paced environment and meet deadlines
