Job Description:
Growing Tax Resolution and Bankruptcy Law Firm is hiring an
Office Assistant in Indianapolis.
Our Office Assistant provides our clients and potential clients the
ultimate customer service experience and handles very important
attorney support tasks. We help people be seen as individuals, not
as a tax or financial problem. Doing this job right requires the
right combination of empathy, communication skills, attention to
detail, and technical skills. You'll play an integral role in
creating memorable client experiences and helping the firm's owner
grow the business.

This important position involves critical administrative duties
related to customer service and direct attorney support. The firm
is growing quickly, and the owner needs front-line support to "keep
the trains running on time" and keep our clients happy. The basic
duties of the position are:
--- Answering the phone.
--- Greeting visitors, prospects, clients, and referral
sources.
--- Meeting with potential clients and clients
--- Scheduling and ensuring calendars are up-to-date and
organized
--- Calendaring deadlines & reminders
--- Managing the mail
--- Sending letters, notecards, emails, newsletters, and thank you
cards
--- Organizing case files and business files
--- Making copies/scanning documents
--- Meeting with potential and existing clients
--- Utilizing software for the preparation of bankruptcy schedules
and IRS financial forms
--- Entering attorney time into the computer system
--- Preparing initial bills for attorney approval and sending
approved bills to clients
This job is a key position in the firm. It is a full-time job, so
you MUST be able to work "in the office" for 40 hours per week. You
must have excellent attendance and organization skills.
--- Customer service experience and experience working in an office
in a clerical/secretarial role are required. Legal experience is a
plus.
--- You will be working on many tasks and cases concurrently over
long periods of time. We expect you to keep track of key dates,
keep the right people informed, and prioritize your time so we
never miss a deadline.
--- You must be comfortable with a computer and standard office
applications (Word, Outlook email & calendar, Google, Excel, and so
on).
--- You must have excellent spelling and grammar.
--- A penchant for accuracy and attention to detail are required to
avoid mistakes that can cost our clients (and us) dearly.
--- You MUST be a positive person.
--- You should treat a client, case, or task at 4:30 pm on Friday
with the same care and compassion as on Monday at 9 am.
We are growing fast and investing time and energy in building our

We are looking for someone who can hit the ground running. This job
is a career position, but not ideal as a first professional
job.
Initial compensation will be based on prior experience and current
pay. Raises will be based on job performance. The position is
full-time and offers paid holidays. Additional benefits are under
consideration but are not yet offered by the firm.

Responsibilities:
Perform legal research, as needed, with help from attorneys and
paralegals
Arrange travel, schedule meetings and appointments for the team,
such as depositions, and coordinate with outside vendors for
events
Accept other administrative tasks as needed to assist the team and
ensure the firm runs smoothly
Assist with the creation of various litigation documents, including
pleadings, motions, subpoenas, affidavits, contracts, and briefs
for case preparation, and proofread documents a needed
Handle office correspondence and administrative tasks such as
responding to emails and phone calls, communicating with opposing
attorney offices, taking dictation, and letting the team know about
upcoming deadlines
Qualifications:
Ability to comfortably use all Microsoft Office products
Must be able to prioritize tasks with demanding deadlines and work
in a fast-paced environment
Applicants must have excellent communication skills and
organizational skills
Candidates must have worked with legal software, case management,
and docketing programs
1-2 years of prior experience in a law firm environment as a
secretary or administrative assistant
