BCforward is currently seeking highly motivated Program Coordinator for an opportunity in Indianapolis, IN 46204 Job Title:Program Coordinator Location:Indianapolis, IN 46204 Duration:6 Months Descrition: Purpose of Position/Summary: The position supports the Office of Technology and Compliance goals by providing secretarial and administrative assistance support to the Office of Technology and Compliance. Keep Chief Information Officer's calendar up-to-date and schedule meetings as needed. Includes preparation of Purchase Orders, Renewals, scheduling meetings, answering phones, travel requests, schedule conference rooms, and greet visitors. Order supplies and maintain copier. Work with Knowledge Services on new postings, PO's, and monitor hours as needed. Other duties as assigned. Job Duties/Responsibilities: Receives visitors, answers telephone, and referral phone messages to appropriate person. Received and distributes mail as received. Ability to multitask, pay attention to details, distribute mail and check faxes received Types letters, memos, reports, and spreadsheets Provide support to CIO, IT Managers, staff using communication and organizational skills Maintain accurate appointment calendar for CIO, adjust schedule and add meetings. Develop and maintain CIO's and Administrative filing system Keep track of all priorities including documents, reminders, renewals, PO's in tickler file. Maintain Ricoh copier by schedule maintenance order toner, paper. Add all staff to scanner feature on Ricoh printer. Process requisitions for program and office supplies, Provide support in initializing the process for all renewals and new Po for Contract Staff for the office of Technology and Compliance All new job postings must be given to CIO first before submitting to Knowledge Services. Work with Knowledge Services on new staff, Renewals, new PO's, monitors hours as needed. Keep copies of all PO's and place in binder and note when renewals are due.Notify supervisors when renewals are due. Provide support in tracking contractors time and Po balances. Provide Building Liaison and Safety committee duties for program. Keep and update staff rooster. Essential Job Duties/Responsibilities: Order Office Supplies, furniture requests, set up new employees. Process Travel arrangements as needed, set up travel status as needed on new staff onboarding. Process SharePoint for all new staff, transfers, relocations, terminations. Plus set up desk for new staff before start date, and that computer, phone, and account information has been received. Receive requests for VPN, mobile Device, USB, Mi-Fi, log in spreadsheet and forward to CIO to process. Keep current inventory of all equipment, keep track of equipment loans Training for Travel on line Booking. Update Org chart and phone listing on all changes for OTC Coordinate with Agency's forms Coordinator to ensure that office documents are compliance with state form regulations. Update procedure manuals as needed. Order office supplies, furniture requests, travel arrangements (G10) and update staff rooster for drills. Develop and maintain Director and Assistant's filing system. Prepare equipment for surplus and maintain accurate inventory records. Help organize office activities Take and deliver messages, check and deliver mail Contact IOT for computer assistance and request move equipment Prepare records for Retention schedule as needed and maintain records of transmittal sheets. Rotation Schedule assisting Receptionist at Front Desk Building and Security Liaison for program Attend Training Classes as needed Perform related duties as assigned. Job Requirements Working knowledge of clerical procedures used in performing specialized office duties. Strong experience with Administrative Duties Working knowledge of specialized forms and procedures used in assigned work. Attention to Detail, knowledge of correct spelling, grammar and punctuation Basic knowledge of agency program terminology and special regulations Basic knowledge of the policies, programs, and activities of the office and the ability to apply these to pertinent situations. Ability to process requisitions for office supplies. Ability to arrange meetings and conferences, including the preparation of materials. Ability to prepare correspondence and reports Excellent Time Management Skills and detailed orientated Scan documents and print files when needed Knowledge of the policies and procedures while excising independent judgement Extended knowledge of the standard Microsoft Office Software---such as Word, outlook, Excel, Outlook, Visio (Organizational Chart) Experience using computer office equipment, fax, scanner, and Multi Copier Ability to communicate effectively both orally and in writing. Organizational skills, with an ability to stay focused on assigned tasks Business College, additional computer training or certification will be an asset Difficulty of Work: Excellent Time Management, very organized, and detailed orientated. Good verbal and written communication skills. Responsibility: Make choices as to form and format to be used following procedure set within the agency. Perform a variety of relatively standardized tasks and is required to make decisions an d use judgement. Follow the policies and procedures while exercising independent judgement. Approval may exist for recommending changes in office procedures, forms used, purchase of equipment, material formats, composition of correspondence and records.
