If you are passionate about doing things right the first time while delivering outstanding customer service, we would like to hear from you!What we offer is a competitive benefit package which includes health, dental, vision, 401k with match, ESOP, Paid Time Off, and so much more!SUMMARY OF RESPONSIBILITIES: Professional single point of contact for premier VIP National Account and individual/COD transferees and his/her family during a relocation. Support the sales staff to ensure service levels meet or exceed customer expectations. Assist the Office/Accounting Manager with general administrative tasks.ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Single point of contact to proactively assist the transferee and his/her family navigate the complexities of a relocation, ensuring they understand the process, vendors and timelines involved to ensure a trouble-free relocation.
  • Independently arranges site survey and prepares estimates and enters required information into Wheaton's Access program. This includes inside sales call to sell the relocation to the transferee or the National Account company contact.
  • Coordinates available dates, monitors the quality of driver assignment and service provided utilizing the Quality Assurance Program (QAP) call process.
  • Updates all interactions and most recent activity in Access.
  • Performs standard QAP for Individual, COD transferees. Understand tariff regulations and pricing. Promote positive reviews and quality surveys after the move is complete.
  • Proactively identifies and troubleshoots potential transferee service failures and independently act on prevention. Independent problem resolution may include pursuing alternative avenues to traditional truck planning.
  • Builds and maintains professional relationships with transferee, sales staff and National Account contact.
  • Collaborate with Operations, Sales and Marketing, Revenue Accounting, Claims, Credit and Collections, Safety and independent agents to complete the move within company timelines while providing the best quality service standards and ensure alignment of goals and objectives.
  • Proactively resolves service escalations and obtains all billing authorizations from National Accounts.
  • Arranges and schedules any relocation third party services required.
  • Troubleshoots perceived billing issues while ensuring contract/tariff billing compliance.
  • Compiles and maintains a variety of daily/weekly activity reports.
  • Oversee the company social media accounts, reviews and reputation management with postings, blogs and vendor management. Work in conjunction with the other employees and contractors for content. OTHER FUNCTIONS: Assist the Office/Accounting Manager in managing financial transactions, including accounts payable, accounts receivable, and contractor statements. Provides backup coverage for inbound phone calls and general administrative functions. Supports the Manager or Supervisor, with the training of new, as well as, existing staff. As problems or volume dictates, may be required to work unplanned overtime.TRAVEL REQUIREMENTS: May include potential, but rare travel to onsite National Account meetings or company sponsored conferences. EDUCATION AND EXPERIENCE: High school diploma or equivalent. Two years previous experience as Move Manger/Inside Sales, national account customer service or transportation industry experience preferred but not required. Working knowledge of tariffs, corporate account contracts/summaries, dispatch, claims and accounting departmental procedures is also preferred. SKILLS AND ABILITIES: Must demonstrate ability to manage extensive volumes of work with solid decision making, analytical and problem-solving skills. Ability to exercise initiative and sound independent judgment. Must have the ability to work in a stressful and fast-paced environment while maintaining a high level of professionalism. PC skills required, specifically, Microsoft Word and Excel. Also, the ability to extend sincere genuine empathy during a highly emotional life transition for the transferee and family.ESSENTIAL FUNCTIONS: Must have the ability to sit at a desk and in front of a computer for long periods of time. Physical presence in office is required. While performing the duties of this job, the employee is regularly required to talk or hear. Must have the ability to handle stress. The employee is occasionally required to sit, stand and walk; use hands to finger, handle and feel; and reach with hands and arms. Specific vision abilities required by this job include appropriate vision needed to read a computer screen, paper forms and correspondence. WORKING CONDITIONS: Job involves in-office work with heavy phone volume.SAFETY HAZARD OF THE JOB: This position is an in-office position with minimal hazards.
