Description:Job Title: Administrative Assistant - FacilitiesDepartment: Facilities - Main CampusReports to: Director of Facilities FLSA Status: Nonexempt, Full-Time THE ADMINISTRATIVE ASSISTANT'S ROLE IN OUR MISSION The mission of the Eastern Star Church (ESC) ministry is evangelism and discipleship. We are committed to the great commission instituted by Jesus Christ which is to nurture and save souls (Matthew 28:18-20). Everything we do through our Church is to live out the vision that the Lord has given to our church family. The administrative assistant provides direct support to the Facilities and Special Projects Manager, manages special event reservations and setups, and serves as an integral part of the facilities team that is responsible for maintaining capital assets, ensures the safety and security of staff and members, and coordinates events and meeting rooms. ESC serves thousands of people each week through many ministries, outreach programs, and other services. Our intentionality with our members and community creates a fast-paced, progressive environment. This role is essential in assuring that pertinent details, deadlines, processes, and procedures are managed efficiently and compliantly. Not only does this role provide direct, everyday support to the Facilities and Special Projects Manager, it also assists others as needed. Kingdom work is both rewarding and sacrificial. An ideal candidate is someone humble and ready to serve God; someone who is flexible, adaptable, and passionate about their work. PRIMARY RESPONSIBILITIES

  • Deliver five-star service by providing direct and regular support to the Facilities and Special Projects Manager. Responsibilities include routine tasks such as calendar/event management and meeting preparation, writing letters, and responding to emails.
  • Regular or special projects may include researching property data, coordinating special event logistics and details, and reviewing contracts and agreements. Provide professional-level administrative support to others when otherwise necessary.
  • Manage pertinent details by staying focused on ever-changing priorities and planning with anticipation, presenting a work product that is of excellence, being abreast of current events, and remaining well-versed and knowledgeable of internal policies and procedures.
  • Assist in the tenant application process, tenant move-in/move-out, lease expirations, rent collection, maintain property management reports and posting, coordinate inspections, and other property management/leasing agent duties as assigned.
  • Participated in strategic planning sessions as required with other departments.
  • Comply with all Fair Housing regulations, local /state regulations, and other laws as they relate to property-specific guidelines and occupancy standards. Requirements:QUALIFICATIONS The ideal candidate is someone who has a high school diploma degree with at least three to five years of experience as an Administrative Assistant and, preferably for a property management, real estate firm, or construction firm. Strong project management and writing skills are a must!
    • Strong ability to organize, plan, and prioritize projects and tasks while monitoring details with an innate ability to multitask and work well in a fast-paced environment. Ability to perform day-to-day project management and administrative tasks such as calendar management, special project coordination, maintaining files, and creating letters or presentations.
    • Advanced knowledge of administrative and clerical procedures and advanced technology skills with systems such as Microsoft Suite and other information management systems, and office equipment.
    • Solid knowledge and application of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar. Advanced grammar and writing skills with an ability to articulate thoughts well in both written and verbal formats.
    • General understanding and familiarity with real estate transactions and agreements and stages of construction.
    • Ability to model active learning and listening by understanding the implications of new information for both current and future problem-solving and decision-making. Ability to be detail oriented giving full attention to information and asking questions as appropriate.
